Administrative Assistant

Reports to: Controller/Training Coordinator

Objective: Coordinate and perform tasks to support the Finance/Operations. Interact with customers, vendors, co-workers. Represent and communicate the company to customers and vendors through in-person, email and phone.


Principle Duties:

Primary reception for visitors and customers.

Maintain visitor logs.

Issue purchase orders for supplies and consumables.

Receive through the IT system packing slips and tie them to invoices.

Data Entry of payables and receivables with GAAP.

Generate Work Orders from system with drawings and engineering to create Work Order Package for Quality to release.

Answer main company phone lines and disburse calls to appropriate areas.

Communicate with Controller and finance.

Filing/Document Control

Audit Purchase orders against acknowledgements.

Audit Customer Purchase Orders against Sales Order.

Education, Qualifications

Education: Associates preferred, but not required.

Qualifications: At least 1 year of equivalent experience.

Abilities: Team player, detail oriented, proficient in Microsoft Office to include power point, excel and word. Good communication skills, must read, write and understand the English Language.
